When you are your own boss, every task feels like yours. This example sorts a real freelance week and shows how to delegate when you have no team.

Schedule (important, not urgent)

- Your portfolio wins the next client. Nobody will ever ask you to update it.

- One of the highest-value decisions you can make, which is why it keeps getting postponed.
- Email three past clients about new work
- Referrals are the cheapest source of work. Do it before the pipeline is empty, not after.

- Keeps your rates rising over time. Learning never feels urgent until you fall behind.
- Set up automatic retirement savings
- Freelancers have no employer plan. An hour of setup pays for decades.
Delegate (urgent, not important)

- It has a monthly deadline, but a bookkeeper or app does it faster and cheaper than your hourly rate.

- Needed for the brief, but a transcription tool does it in minutes.

- Has to go out on time, but a scheduling tool and a VA can handle it.

Freelancers face a special version of the urgency trap: client deadlines are loud and paid, while marketing, rates and savings are quiet and unpaid today. That is why Schedule here is full of things that decide whether next year is better than this one.
Three tips for freelancers
Price your Delegate column. Work out your effective hourly rate. Any task you could hand to a tool or a person for less than that is a Delegate candidate. Bookkeeping and transcription are the usual first wins.
Guard one Schedule morning a week. Pick a fixed half-day for portfolio, outreach and learning. Treat it like a client meeting you cannot move.
Cut spec work and “pick your brain” calls. They feel like opportunities but usually sit in Quadrant 4. Offer a small paid starting project instead.
A weekly routine for freelancers
On Friday afternoon, sort next week in the matrix: client deadlines into Do First or Schedule, admin into Delegate, and wishful tasks into Eliminate. Send any invoices before the weekend. Then put one marketing task in Monday’s first hour, before client email starts.
